24 voicemail greeting examples, by situation
Each one is written for a kind of business and runs under 30 seconds read aloud. Replace the parts in brackets with your own details, then record.
How to record your greeting
Ten minutes and the phone you already have. Most of what makes a greeting sound professional is the room and the pace, not the equipment.
- 01
Read it aloud once before you record
Swap in your own details and read the greeting at a natural pace. If it runs past 30 seconds, cut a sentence rather than talking faster.
- 02
Record somewhere quiet and soft
Curtains, carpet and furniture soak up echo; a small office beats a big empty room. Turn off fans, music and notifications first.
- 03
Hold the phone as if you were on a call
About a hand's width from your mouth, speaking across the microphone rather than straight into it, so hard sounds don't pop.
- 04
Smile, and pause after your name
Callers can hear a smile. Aim for about 150 words a minute, with a short pause after the business name so it lands.
- 05
Listen back on a phone, not headphones
Call your own line and hear it the way a customer will. Re-record until the first two seconds sound sure of themselves.
- 06
Keep it current
Switch to the holiday or vacation greeting before you close, and set a reminder to switch back the day you return. A stale greeting tells callers nobody is minding the phone.
A greeting takes a message. An AI receptionist takes the call.
When nobody can pick up, a good greeting is the best a business can do on its own. Evoriqa’s AI receptionist answers instead: it replies from your own website and FAQs, books on your connected calendar and transfers to a person when the caller needs one, on every plan including Free.
Frequently asked questions
What should a business voicemail greeting say?
Five things, in this order: your business name, why you can't answer (closed, busy, on holiday), what to leave (name, number and the reason for the call), when they will hear back, and who to contact if it can't wait. Anything more makes the greeting longer without making it more useful.
How long should a voicemail greeting be?
Aim for 15 to 30 seconds. At a natural pace of around 150 words a minute that is roughly 40 to 75 words. Every greeting this generator writes runs about 75 words or fewer, and the short tone about 35 or fewer, so callers reach the tone quickly.
Should I put my business hours in the greeting?
On an after-hours greeting, yes: it answers the caller's next question before they ask it. Add a sentence such as "We're open Monday to Friday, 8 to 6" after the first line. Leave hours out of your standard greeting if they change often, so it never goes out of date.
Does the Play button use my voice?
No. Play reads the greeting in your browser's built-in text-to-speech voice, so you can check its length and rhythm before you record. Record the final version in your own voice. Browsers without a speech voice don't show the Play button at all.
What can answer my calls instead of voicemail?
An AI receptionist. Evoriqa's phone agent picks up when you can't, answers from your own website and FAQs, books appointments on a connected Cal.com or Calendly calendar, and transfers the caller to your team when they need a person. You connect your own phone line, and voice is included on every plan, including Free.
