Free canned responses generator

Evoriqa’s free canned responses generator writes three ready-to-send replies for the messages support teams answer most: order status, refunds, delays, apologies, bookings, pricing and reviews. Pick the situation, the channel (email, live chat or SMS) and a warm or formal tone, then copy a reply. Nothing you type leaves your browser.

Your replies

Order status · Email · Warm

  1. Option 1 · Order has shipped

Hi [Customer], Thanks for checking in on your order. It has shipped, and the tracking link in your shipping confirmation email shows where it is right now. If the tracking hasn't moved in two days, or the delivery date passes without a parcel, reply to this email and I'll follow it up with the carrier for you. Warm regards, The team

  2. Option 2 · Order is being packed

Hi [Customer], Thanks for waiting while we get your order ready. It's being packed now, and you'll get a shipping confirmation with tracking details the moment it leaves us. If you need to change anything, such as the address or an item, tell me today and I'll make the change before it goes out. Warm regards, The team

  3. Option 3 · Need the order number

Hi [Customer], Let me look into your order. To find it quickly, could you reply with your order number, or the email address you used at checkout? Once I have that, I'll check where it is and come back to you with a clear answer the same day. Warm regards, The team

No customer name? Each reply opens with [Customer]. Swap it for the name before you send. It is the only placeholder in the tool; everything else is ready to go.

60+ canned response templates, by situation

Two ready replies for every situation, on email, chat and SMS. Each opens with [Customer]: swap in the name, check that any times and promises match what you can keep, and send.

How to use canned responses without sounding canned

A template is a starting point. These six habits are what separate a reply that feels written for the customer from one that was pasted.

  1. 01

    Answer in the first sentence

Open with the answer or the next step, not with how much you value the customer. If they asked where their order is, the first thing they read is where it is.

  2. 02

Change one real detail before you send

The name, the order number or the date. A canned reply with one true, specific detail reads as written for them. Swap [Customer] for the name every time.

  3. 03

Promise only what you can keep

The times in these templates, such as same day or one business day, are examples. Change them to what your team can actually do, because a missed promise costs more than a slower one.

  4. 04

    Fit the channel

Email can carry the detail, chat should be quick and conversational, and SMS should be one short message. The same answer should look different in each.

  5. 05

    Keep SMS inside one message

A text over 160 characters is split into several, and some characters, such as emoji and curly quotes, drop the limit to 70. The counter above shows where you stand.

  6. 06

Retire the ones that draw a follow-up

If a reply keeps getting the same question back, it left something out. Fix the template once and every future customer benefits.

Frequently asked questions

What is a canned response?

A canned response, also called a saved reply or macro, is a pre-written message you send for a question that comes up again and again, edited with the customer's details before it goes out. It keeps answers fast and consistent without writing the same reply from scratch.

How do I stop canned responses sounding robotic?

Answer the question in the first sentence, use the customer's name, add one detail only you would know, and cut the filler. Phrases like "we apologise for any inconvenience" are what make a template obvious. The replies here say what happened and what you will do next instead. Read your edited version aloud once before it goes.

What does [Customer] mean in the replies?

It is a placeholder for the customer's name, and the only one in the tool. Type the name into the generator and it fills in; leave the field empty and each reply says [Customer] so you can swap in the name yourself, or the merge field your help desk uses.

How long can an SMS canned response be?

A standard text holds 160 characters. Longer messages are split into several parts, and a message with emoji or curly quotes is limited to 70 characters per part. Every SMS reply in this tool is written to fit in 160 characters including the greeting, and the counter shows the length as you change the tone or add a sign-off.

Can an AI agent send these for me?

Evoriqa's AI agent answers the repeat questions on live chat, SMS and WhatsApp from your own website and help content, and hands the conversation to your team when it needs a person. It writes from your content rather than pasting a template. Email is human-first: Evoriqa routes it to your team and the agent does not answer it, so email replies like these stay with you.

Does the tool save what I type?

No. The replies are written in your browser from the options you pick and the names you type, and nothing is sent or stored. Site analytics records only the situation, channel and tone you chose when you copy a reply, never the names.
